Who we are
TaskRooms is a project management service at www.taskrooms.com and in the TaskRooms apps for iPhone and Android. This policy explains what we collect when you use any of them, why we collect it, and the choices you have. If anything here is unclear, email us at privacy@taskrooms.com.
What we collect
We collect only what we need to run TaskRooms for you and your team:
- Account details: your name, email address and profile picture. If you sign in with Google or Apple, we receive these from them. Passwords are handled by our sign-in provider and never stored by TaskRooms.
- Your work: the workspaces, projects, tasks, comments, discussion messages, reactions and files you and your teammates add.
- Billing details: your plan and invoice history. Card and payment details are entered directly with our payment provider; we never see or store your full card number.
- Device and usage details: your notification settings, a push notification token for each phone where you use the app, and the technical logs servers keep (such as IP address, browser and time of request) to keep the service secure and working.
We don't use advertising trackers, and we don't sell your personal information.
How we use it
- To provide TaskRooms: show your work to the teammates you share it with, sync it across your devices in real time, and keep it backed up.
- To send you messages you expect, such as invitations, task assignments, reminders and account emails. You can change notification settings at any time in Settings.
- To show previews of links you post, by fetching the linked page's title and image.
- To bill paid plans, prevent abuse and fraud, and meet our legal obligations.
- To fix problems and improve the product.
Who can see your information
Members of a workspace can see the projects, tasks, files and messages in that workspace, along with each other's name, email address and profile picture. What each member can change depends on their role (Owner, Admin, Member or Viewer). Anyone you send a project link to still needs to be a member to open it.
Service providers
We use trusted providers to run TaskRooms. They process data only on our behalf and only to provide their service:
- Clerk: sign-in and account security
- MongoDB Atlas: database hosting
- Vercel and DigitalOcean: website and server hosting
- Cloudflare or Amazon Web Services: file storage
- Razorpay: payments
- Resend: email delivery
- Expo, Apple and Google: push notifications on mobile
We may also share information if the law requires it, to protect the rights and safety of our users, or as part of a merger or acquisition, in which case this policy would continue to apply.
Cookies and local storage
We use cookies that are needed to keep you signed in, and your browser's local storage to remember preferences like your theme and last-used project. We don't use cookies for advertising.
How long we keep it
We keep your information for as long as your account is active. When you delete your account, we delete your profile and remove you from your workspaces. Work you added to a workspace that others still use, such as tasks and comments, stays with that workspace. When a workspace is deleted, its projects, tasks and messages are deleted with it; to have its uploaded files removed from storage too, email privacy@taskrooms.com. We may keep billing records for as long as tax and accounting laws require.
Your choices and rights
You can:
- View and update your name and profile picture in Settings.
- Change or turn off email and push notifications in Settings, or in your phone's settings.
- Delete your account from Settings on the web or in the app. If you own a workspace, transfer or delete it first.
- Ask us for a copy of your information, or to correct or delete it, by emailing privacy@taskrooms.com.
Depending on where you live, you may have further rights under local law. We'll respond to any request within 30 days.
Security
Data is encrypted in transit with HTTPS, access to production systems is limited, and sign-in is handled by a dedicated identity provider. No system is perfectly secure, so if you find a problem, please tell us at privacy@taskrooms.com.
Children
TaskRooms is not meant for children under 16, and we don't knowingly collect information from them.
Changes to this policy
If we make meaningful changes, we'll update the date at the top of this page and, for significant changes, let you know by email or in the app before they take effect.
